Smart Meetings Solution

Room booking, meeting equipment, meeting services, and minutes that raise how well people meet and work together

Solution Overview

The smart meetings solution uses IoT to join room booking, equipment control, video meetings, minutes, and meeting services, so a meeting is digital from start to finish. Companies run short of rooms, equipment is fiddly, and people in different cities struggle to join. Manual coordination is slow and double-books.

The room is the unit of management. A room controller, climate sensors, and meeting panels report whether the room is taken and how the equipment is running. Links to OA, calendars, DingTalk, and WeCom give one-tap booking, conflict checks, and automated approval. Equipment can be warmed up before people arrive. During the meeting there is wireless sharing, video, and speech-to-text. Afterwards the minutes are written and tasks are sent out, which cuts setup time and the tidy-up after. It fits headquarters, industrial parks, government offices, and universities that run many rooms, and it raises what meetings produce and how fully the rooms are used.

Where meeting management usually breaks

Bookings collide

Systems that do not share a calendar double-book a room, and the clash shows up minutes before the meeting.

Equipment is slow to start

Projector, sound, and lights are switched one by one. People who are not technicians lose the first minutes of the meeting.

Decisions disappear

Minutes are handwritten, tasks are vague, follow-through is weak, and what was decided is hard to find later.

Rooms sit empty

Without usage data, idle hours stay hidden, and the rooms on offer do not match what people actually need.

Figures from the field

Surveys put the average employee at 15–20 hours of meetings a week, and about 30% of those meetings start late or are cancelled because of equipment or a booking clash. Rooms are used only about 40%–60% of the time, so a large share sits idle. After a smart meetings system is in place, booking clashes can fall by more than 80%, setup can drop from about 10 minutes to under 2, and writing the minutes can take about 70% less time. Large companies, industrial parks, and government offices are asking for this, and the market keeps growing.

Core capabilities

From the booking through to what happens after the meeting

Room booking

See free slots in OA, the calendar, or WeCom and book in one tap. Conflicts are caught, approvals run, and recurring meetings are supported. A screen by the door shows the day's schedule so the room is not taken by mistake.

Meeting equipment

One control starts the projector, display, sound, and lights. Phones and laptops share wirelessly. Video endpoints join Tencent Meeting, DingTalk, Zoom, and similar tools, with recording and live stream.

Minutes

Speech becomes text, a summary, and a list of tasks. When the meeting ends, the minutes go to the people who were there, and follow-up reminders help the decisions actually happen.

Meeting services

Book tea breaks and lunch, report a fault in one tap, and track the response. Room use and fault rates then show where space and equipment should change.

Typical applications

Company headquarters

One booking and equipment view across floors and rooms

Government offices

Room approval, confidential meetings, and video consultations

Universities and research

Lecture halls, seminar rooms, and remote thesis defenses

Hotels and exhibitions

Banquet halls and meeting rooms, with the services that go with them

How the systems join

Room IoT linked to the systems the business already runs

Device access

Controllers, meeting panels, door screens, and temperature-humidity sensors join over Wi-Fi or cable. RS232, infrared, and relay are supported, and the common meeting-equipment brands work with them.

System links

REST APIs and webhooks reach OA, Outlook, Google Calendar, DingTalk, and WeCom. Room occupancy syncs both ways, so the same slot is not booked twice.

A practical rollout

Step by step, with results early

1
Booking first

Link OA and the calendar so rooms can be booked online and clashes are caught

2
Then the equipment

Add a room controller and a door screen so one tap starts the room and the status is visible

3
Minutes and services

Add speech-to-text and task assignment, and close the loop on meeting services
